Management Support Assistant

Entris Banking is seeking an assistant for management support who will assist the executive board and other organizational units and help with various administrative tasks. The position offers a varied role in an exciting working environment as a central bank for small and medium-sized financial institutions.

Job description

Management Support Assistant (80–100%)

Tasks

  • Active participation in management support for the Entris Group
  • Supporting management and other organizational units
  • Organization and coordination of meetings, general assemblies, agendas, and documents
  • Minutes of GSV meetings in the absence of the Head of Management Support
  • Maintenance of digital contract management
  • Administration in the contract change process: Based on input from the specialist departments, draft and review contract amendments, prepare and send documents on time, and process the responses.
  • Collaboration in ensuring a functional and optimized building infrastructure, including security (e.g., access management, physical security, evacuation) and management of facility providers
  • Collaboration as management support in the crisis management team and responsible for maintaining resources (including crisis folder)
  • Collaboration in the implementation of the sustainability strategy, in particular collecting relevant data for the annual greenhouse gas balance sheet
  • Managing legal bases, commercial register entries, and signing authorizations
  • Assistance with office supplies management and mail distribution
  • Participating in projects and organizing events

Requirements

  • Commercial training with appropriate further education (executive assistant with federal certificate or similar)
  • Interest in familiarizing yourself with a wide range of topics
  • Stylish, confident German with good written and spoken French skills
  • High degree of independence, reliability, and strong service mentality
  • Proficient in using common MS Office programs
  • Excellent organizational skills
  • Trustworthy and discreet personality with an independent and precise approach to work
