Business Support Coordinator

The Business Support Coordinator assists the team with administrative tasks such as coordinating appointments, organizing events and handling correspondence. The focus is on providing a high level of service to internal customers and maintaining a professional appearance.

Job description

Tasks

  • Answering incoming calls and forwarding messages
  • Organizing cabs, sending confirmations and recording data
  • Keeping a register of visitors and issuing visitor passes
  • Ensuring a high level of service for internal clients (all Julius Baer employees)
  • Opening and closing the main doors of the building
  • Organization of meetings by setting dates and booking rooms
  • Organization of meeting refreshments and in-house lunch bookings for meeting rooms
  • Maintaining a tidy and inviting appearance in the reception area and meeting rooms
  • Management of the courier process
  • Representation of the Facilities Officer during absence

Business Management

  • Event services: Organization of customer and corporate events
  • Support for subcommittees of the company
  • Internal communication: development of content for the weekly branch office news
  • Management and maintenance of an annual calendar of events
  • Organization of travel, transport and accommodation for internal stakeholders
  • Organization of training events for the branch office

Requirements

Personal and social skills

  • Strong sense of integrity and compliance with company policies
  • Strong communication skills (written and verbal)
  • High standard of clothing and personal presentation
  • Attention to detail

Professional and technical skills

  • Ability to keep minutes and understanding of corporate governance
  • Event management capabilities
  • Competence in audio and copy typing
  • Excellent knowledge of Excel, Word and PowerPoint
  • Proactive approach to work
  • Team player
