The Business Support Coordinator assists the team with administrative tasks such as coordinating appointments, organizing events and handling correspondence. The focus is on providing a high level of service to internal customers and maintaining a professional appearance.
Job description
Tasks
- Answering incoming calls and forwarding messages
- Organizing cabs, sending confirmations and recording data
- Keeping a register of visitors and issuing visitor passes
- Ensuring a high level of service for internal clients (all Julius Baer employees)
- Opening and closing the main doors of the building
- Organization of meetings by setting dates and booking rooms
- Organization of meeting refreshments and in-house lunch bookings for meeting rooms
- Maintaining a tidy and inviting appearance in the reception area and meeting rooms
- Management of the courier process
- Representation of the Facilities Officer during absence
Business Management
- Event services: Organization of customer and corporate events
- Support for subcommittees of the company
- Internal communication: development of content for the weekly branch office news
- Management and maintenance of an annual calendar of events
- Organization of travel, transport and accommodation for internal stakeholders
- Organization of training events for the branch office
Requirements
Personal and social skills
- Strong sense of integrity and compliance with company policies
- Strong communication skills (written and verbal)
- High standard of clothing and personal presentation
- Attention to detail
Professional and technical skills
- Ability to keep minutes and understanding of corporate governance
- Event management capabilities
- Competence in audio and copy typing
