Job description

As an Executive Assistant, you will support senior stakeholders with professionalism and confidentiality. You will have the opportunity to leverage your strong experience as an Executive Assistant to manage stakeholders' schedules and daily needs and ensure smooth client service through effective prioritization.

Tasks

The tasks include:
  • Managing daily activities: advanced, complex schedule management, email management, and professional telephone communication
  • Welcoming customers: Handling internal and external customer interactions, organizing meetings and events, and collaborating with marketing teams in Europe
  • Setting up meetings, conference calls, and video conferences
  • Finalization of complex travel arrangements, including flights, visas, accommodations, and logistics; management of frequent changes and creation of itineraries
  • Processing expense reports, using internal systems, and preparing necessary documents for client meetings
  • Integration into the business to understand the group's priorities and expectations
  • Support with hiring and dismissing employees, setting up equipment, and managing ad hoc projects
  • Organization of internal and external events in collaboration with marketing teams
  • Creation and management of Excel spreadsheets, Word documents, and PowerPoint presentations

Requirements

The requirements include:
  • Assistant experience, ideally supporting middle managers or higher
  • Advanced organizational skills, ability to meet deadlines, and demonstration of proactivity and personal responsibility
  • Assertiveness, with the ability to make independent decisions
  • Tact and good judgment in confidential situations, with proven experience interacting with senior management
  • Strong interpersonal, written, and telephone communication skills
  • Proficiency in Microsoft Office
  • Excellent telephone etiquette and ability to manage competing priorities
  • Fluent English
  • Polished, professional approach, calm overall impression, and ability to work under pressure
