Job description

As an Executive Assistant, you will support senior stakeholders with professionalism and confidentiality. In our dynamic banking team, you will have the opportunity to leverage your strong experience as an Executive Assistant to manage stakeholders' schedules and daily needs and ensure seamless customer service through effective prioritization. Your role will require flexibility and advanced assistant skills, as well as strong attention to detail and effective communication skills.

Tasks

  • Manages daily activities: advanced, complex schedule management, email management, and professional telephone communication
  • Greets customers: handles internal and external customer interactions, organizes meetings and events, and collaborates with marketing teams across Europe
  • Set up meetings, conference calls, and video conferences
  • Finalizes complex travel arrangements, including flights, visas, accommodations, and logistics, manages frequent changes, and creates itineraries
  • Processes expense reports, uses internal systems, and creates necessary documents for client meetings
  • Becomes an integral part of the business, understands group priorities and expectations
  • Assists with hiring and terminating employees, setting up equipment, and manages ad hoc projects
  • Organizes internal and customer events, collaborates with marketing teams
  • Creates and manages Excel spreadsheets, Word documents, and PowerPoint presentations

Requirements

  • Assistantship experience, ideally supporting mid-level directors or higher
  • Advanced organizational skills, ability to meet deadlines, and proactive and independent work style
  • Assertive, with the ability to make independent decisions
  • Tact and good judgment in confidential situations, with proven experience interacting with senior management
  • Strong interpersonal, written, and telephone communication skills
  • Proficiency in Microsoft Office
  • Excellent telephone etiquette and ability to manage competing priorities
  • Fluent in English
  • Polished, professional approach, calm overall impression, and ability to work under pressure
