General Services Employee

EFG International is seeking a General Services Employee for its Geneva office to manage day-to-day logistics and administrative operations. The ideal candidate should have experience in a similar role, possess strong organizational skills, and be able to quickly adapt to new tools and applications.

Job Description

The General Services Assistant plays a key role in the day-to-day management of logistics and administrative operations at our private banking office in Geneva. This person coordinates shipments, manages inventory, and helps optimize internal processes, while ensuring a smooth working environment that meets the company’s quality standards.

Main tasks

The main tasks include:
  • Shipment and Logistics Management: Monitoring and managing mail shipments (letters, packages, express deliveries, etc.), both domestically and internationally, using platforms such as UPS CampusShip, Swiss Post, etc.
  • Inventory and Procurement Management: Ordering and managing supplies for various departments.
  • Maintenance and Facility Management: Monitoring the condition of office spaces, identifying maintenance needs, and coordinating with service providers to resolve issues promptly.
  • Administrative Support and Project Management: Coordinating and monitoring various projects in collaboration with service providers and internal teams.
  • A wide range of support within the General Services team, including managing internal communications via tools such as Microsoft Teams and Webex.

Requirements

The requirements for this position are:
  • Degree in administration, logistics management, or equivalent.
  • Previous experience in a similar role (preferably in the banking sector or at a medium-sized company).
  • Extensive experience in a similar role within private banking or wealth management, with a deep understanding of the nuances and complexities involved.
  • Experience with digital tools and collaboration platforms (Outlook, Excel, Teams, etc.).
  • Proficiency in postal and logistics management platforms (LPS CampusShip, Swiss Post).
  • Ability to quickly adapt to new tools and applications.
  • Autonomy, initiative, and the ability to manage priorities.
  • Excellent organizational skills and the ability to work under pressure and meet deadlines.
  • Team spirit and excellent communication with various internal departments.
  • Ability to be flexible and take on various tasks within the General Services Department.
  • Fluency in spoken and written English is required.
