Office Coordinator | Receptionist

The position of Office Coordinator and Receptionist at Man Group in New York involves serving as the primary point of contact for the office and assisting the CRES Manager with various tasks, including office administration, health and safety, and event management. Purpose of the role

The role of the Office Coordinator and Receptionist is to serve as a reliable and welcoming point of contact for the office. The successful candidate will be part of a global, dynamic investment management team and will provide a seamless and positive experience for both internal and external clients.

Tasks

The main tasks include:
  • Supporting the CRES Manager, the rest of the ORES team, and local management in all aspects of facilities services
  • Handle daily office tasks with care and efficiency to ensure smooth operations
  • Support in implementing local health and safety requirements, such as office risk assessments, first aid, and fire safety coordination

Specific responsibilities

Specific responsibilities include:
  • Office Services: Greeting visitors and answering phone calls; coordinating hospitality, catering, and meeting rooms
  • Health and Safety: Assisting the CRES Manager with health and safety tasks, including some site visits and online checks
  • Relocations and Changes: Assisting the CRES Manager with desk relocations, changes, and related logistics
  • Event Management: Assistance with coordinating office events, including seasonal gatherings such as summer and winter parties
  • Finance: Preparation and/or approval of purchase orders, bid documents, and supporting documents
  • Administrative and commercial tasks: Effective communication and support regarding CRES inquiries

Requirements

The requirements for this role include:
  • College degree (preferred)
  • Experience in reception or customer service
  • Ability to handle multiple tasks at once and work under pressure
  • Encouraging Collaboration and Teamwork
  • Strong analytical and problem-solving skills, with a keen eye for detail, preferably in an environment using MS Office and with knowledge of health and safety
  • Excellent written and verbal communication skills
  • Knowledge of operating systems, particularly in the area of customer service
  • Relevant experience in corporate services or customer service (preferred)
