Office Coordinator | Receptionist

The Office Coordinator is responsible for coordinating office operations and supporting the CRES department, including reception services, office administration, and health and safety measures. The position involves a wide range of tasks and requires strong communication skills, organizational skills, and the ability to work under pressure.

Tasks

The position of Office Coordinator and Receptionist involves the following responsibilities:
  • Welcoming customers and visitors and ensuring a professional, high-quality guest experience
  • Coordination of hospitality, catering, and conference room setup for external meetings
  • Assistance with booking and setting up meetings, events, and conferences
  • Management of office supplies, including ink, paper, and stationery
  • Management of office catering supplies (e.g., fresh fruit, meetings, and events)
  • Management and maintenance of the shared filing cabinet
  • Assisting the CRES Manager with the issuance of access passes and related coordination
  • Coordination and oversight of third-party vendors, including cleaning, catering, pest control, security services, and office maintenance
  • Assistance with receiving and distributing incoming and outgoing mail
  • Provide general support to the CRES Manager in the day-to-day management of the office

Health and Safety

The position also includes the following responsibilities in the area of health and safety:
  • Assist the CRES Manager in maintaining a safe work environment, including conducting regular inspections
  • Keeping accurate records for first responders, firefighters, and PEEPs
  • Ensuring that all areas of the office have been assessed for risk and that fire extinguishers are available
  • Assistance with compliance with fire safety procedures and local regulations
  • Reporting of health risks or personal circumstances that could affect staff or safety

Administration and Communication

The position also includes the following administrative and communication duties:
  • Communication of office and CRES updates via email, Slack, and other channels
  • General support as needed

Requirements

The position requires the following qualifications and skills:
  • College degree (preferred)
  • 1–2 years of experience in office administration or in the corporate sector
  • Ability to handle multiple tasks at once and remain calm under pressure
  • A good understanding of and awareness regarding health and safety
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office, particularly Excel and PowerPoint
  • Ability to work independently
  • Proactive and well-established relationships at all levels of the organization, with a particular emphasis on discretion and confidentiality
