Office Service Manager

Vontobel is seeking an Office Service Manager to act as a single point of contact for facility management issues and maintain a client-focused environment with high hospitality standards. The ideal candidate should have 5-10 years of experience in office management or a related administrative or hospitality role and have excellent communication and organizational skills.

Tasks

The Office Service Manager position involves traditional office management as well as facility management expertise. The main tasks include:
  • Assuming the role of central contact person for all facility management issues
  • Monitoring office supplies and order management
  • Support of the locations in Miami/Florida as contact person in New York City

Facility Management & Workplace Design

The tasks include:
  • Assuming the role of central contact person for all facility management issues
  • Collaboration with internal teams and external suppliers on office renovations, cleaning issues or redesigns
  • Monitoring office supplies and order management
  • Technical support for facility management tasks

Meeting Room Management

The tasks include:
  • Conducting regular tours to ensure that conference rooms and common areas are in optimal condition
  • Coordination with internal departments, suppliers and facility management for conference needs
  • Support for VIP and customer meetings by organizing materials and catering
  • Cleaning and resetting of conference rooms after use

Reception Services

The tasks include:
  • Warm welcome for guests and provision of visitor badges
  • Answering telephone calls and forwarding them to the appropriate contact person

Requirements

We are looking for a candidate with:
  • At least 5-10 years of experience in office management or a related administrative or hospitality role, preferably in the financial services industry
  • Profound knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Strong organizational and multitasking skills with attention to detail
  • Excellent communication and interpersonal skills
  • Demonstrated ability to foster a client-centered environment with high standards of hospitality
