Tasks

  • Primary contact for facility management regarding cleaning, elevators, security, parking, HVAC, building updates, and regulatory compliance
  • Monitoring of building systems and general maintenance
  • Coordination of routine and emergency maintenance with building management
  • Support with office planning, space optimization, relocations, desk allocation, and office expansions
  • Management of employee access cards and security systems, ensuring compliance with safety and security protocols
  • Support in planning and implementing office conversions and renovations
  • Assistance with managing leases, renewals, and parking assignments; communicating policies to employees
  • Participation in workplace-related projects such as upgrades and operational improvements, tracking schedules, and coordinating stakeholders
  • Management of office inventory and equipment, arranging repairs as needed
  • Arranging minor repairs and tradesmen services, monitoring completion and quality
  • Management of office decor, artwork, and overall professional appearance
  • Control and organization of office supplies, ensuring availability and proper inventory levels
  • Monitoring and control of the facility budget, tracking of expenditures and approvals
  • Receiving suppliers at the office for repairs, maintenance, or installations
  • Managing invoices from suppliers and contractors, ensuring timely processing and accuracy
  • Negotiating contracts, prices, and services with suppliers and contractors to optimize costs and service quality
  • Maintaining the premises to standard and communicating with relevant internal departments
  • Support for bank-related events organized by HR and Marketing, including supplier coordination, logistics, and holiday arrangements
  • Availability to work full-time and adapt to business needs

Requirements

  • Strong team player with the ability to lead and collaborate effectively
  • Excellent communication and organizational skills
  • Fluency in English required; knowledge of Portuguese is an advantage
