Payroll and HR Operations Specialist - Vice President - 12-Month Fixed-Term Contract
As a Payroll and HR Operations Specialist at Nomura in Paris, you will be responsible for payroll, HR administration, and providing support for the transition to the Cloudpay system. You will also oversee offshoring processes to India and assist the HR team with routine monthly and annual tasks.

Role Description
1. Payroll Management and Cloudpay Transition Support
- Payroll Operations:
- Collect, verify, and enter variable payroll items (new hires, terminations, transfers, bonuses, etc.)
- Serve as the primary point of contact with Cloudpay, our payroll provider, to address all payroll-related issues
- Review payroll consistency and work with the provider to make the necessary corrections
- Handle employee inquiries related to payroll
- Cloudpay Transition Support:
- Actively participate in stabilizing the payroll process after the transition
- Identify and report anomalies or malfunctions
- Help improve internal procedures in accordance with the new framework
- Submit payroll accounting files to the Finance department by the required deadlines
- Verify that the payroll data and accounting entries are consistent.
2. HR Administration
- Manage administrative follow-up on employee files (contracts, amendments, resignations, etc.)
- Handle employee inquiries related to HR administration
- Actively participate in the onboarding process (background check with HR, FST/FTF, onboarding kit, welcome speech, system access, workspace, etc.)
- Manage relationships with external organizations and providers (health insurance, French unemployment insurance, occupational health, employee savings plans, tax advisors, etc.)
- Support the sharing of information regarding employee onboarding, offboarding, terminations, changes in management, etc.
- Update the HR information system (Success Factor) with employee data: salary and geographic mobility, workdays, FST/FTF, etc.
3. Managing the Administrative Tasks Related to Offshoring to Powai (India)
- Support the transfer of invoice management and administrative documents to the Powai center.
- Document processes for the Powai team and monitor the quality of their work.
4. Preparation of monthly and annual recurring jobs
- Prepare data for special bonuses (Christmas, summer, etc.) and, in coordination with the HR Business Partner, prepare the bonus calculation
- Manage documents in Success Factor (employment contracts, certificates, job descriptions, etc.)
- Transfer job-related documents from France to India (Payroll)
- Manage absences for other statuses: long-term disability, retirement, etc.
- Manage employee mobility in relation to payroll
- Prepare all contractual documents (transfer to or from France)
- Update and deploy procedural documents (HR Manual, Intranet Procedures)
- Prepare any necessary reports for HR and management on various HR-related topics
5. Team Assistance
- Support HR team members with task management, preparing monthly procedures, and follow-up
