The job of Portfolio Services Officer at State Street Investment Management in Tokyo involves overseeing and coordinating outsourced operational functions and working with various stakeholders to ensure the smooth running of back and middle office functions. Summary of the role
Portfolio Services is responsible for the effective and efficient delivery of investment functions undertaken by internal/external providers including our Group companies. You will interact with various key stakeholders including the Investment Operations team, Client Relations team, Portfolio Managers and external providers to ensure service levels and performance across certain back and middle office functions (investment management, reconciliations, cash and securities reconciliations, corporate actions and account opening). They will report directly to the Head of Portfolio Services Group in Tokyo.Tasks
- Effective monitoring of outsourced operational functions performed by internal/external parties including Group companies
- Daily execution of operations related to trading/execution, investment, accounting, broker, etc., internal settlements
- Trade orders and cash processing including external (TAS, Trust and Custody) and internal settlements as well as on internal systems etc.
- Support with other operational tasks (regulatory reporting, client reporting, AML/KYC related tasks, etc.) and initiatives
- Support with requests from internal parties
- Extensive communication with the business to enable effective and accurate operational delivery
- Assistance in the development of the company from an operational perspective
- Developing and maintaining relationships with internal and external stakeholders
- Maintain an effective change management program that helps ensure continued ability to meet business, customer and regulatory requirements

Required skills
- Strong communication and organizational skills with key internal and external stakeholders
- Self-motivated professional with the ability to work under pressure and manage multiple priorities while maintaining attention to detail
- Proven ability to review operational processes, recommend and implement changes and deliver continuous improvement
- Moderate knowledge of English, both written and spoken
- Experience in the effective monitoring of outsourced functions
Experience, qualifications, skills and attributes
- University degree required
- 10+ years of experience as an SFP professional. Experience in financial services, especially investment management, preferred
- Broad experience focused on risk management or audit experience preferred
- Team player and self-motivated professional with the ability to work under pressure and maintain attention to detail
- Strong English language skills, both written and oral
- Native Japanese and English language skills preferred
- Strong communication and organizational skills
- Strong analytical and problem-solving skills
- Strong computer skills, including knowledge of word processing, spreadsheets and database applications
- Basic project management skills
