Senior Receptionist / Front of House (Maternity Leave Replacement)

Alanttra is seeking a Senior Receptionist / Front of House in London for a temporary maternity leave replacement position (Mon–Thu, 8:00 a.m.–5:00 p.m.). The position involves professionally assisting visitors, coordinating meeting rooms, and providing general support for office operations.

Job Details

Tasks

  • Providing a warm and professional welcome to all guests, customers, and visitors upon arrival
  • Immediate notification of relevant staff regarding guest arrivals and management of all visitor check-ins and check-outs
  • Manage the preparation and serving of refreshments and work with the catering staff as needed
  • Ensuring that the reception area and meeting rooms are kept in excellent condition and fully stocked with stationery and up-to-date marketing materials
  • Daily restocking of supplies in the customer kitchen, the breakout room, and the stationery cabinet, as well as proactive ordering when deemed necessary
  • Maintaining an organized display of current marketing brochures, newspapers, and trade publications
  • Set up all audiovisual (AV) and videoconferencing (VC) equipment for meetings; ensure that the room is ready and fully functional in a timely manner
  • Take responsibility for the meeting room reservation system to ensure efficient use of rooms, room availability, and the avoidance of scheduling conflicts
  • Assistance with organizing and conducting internal events, including staff lunches, off-site meetings, and client entertainment
  • Efficient and accurate management of all incoming and outgoing mail, courier services, and deliveries
  • Continuous review and improvement of front-of-house processes to enhance efficiency and brand presentation
  • Assistance with ad hoc administrative tasks for guests and employees, including copying, scanning, filing, and running general errands
  • Manage visitor registration processes in accordance with security protocols, including the issuance of visitor passes
  • Assistance with onboarding new employees, including office tours, introductory meetings, and coordination with building management or external service providers, as needed
  • Work with the office manager to ensure the smooth operation of the reception area
