Talent Acquisition Coordinator

The Talent Acquisition Coordinator supports the Talent Acquisition team in recruiting top talent and ensures that candidates have a positive experience throughout the application process. The role involves coordinating interviews, managing candidate data, and assisting with talent acquisition.

Tasks

The Talent Acquisition Coordinator plays a crucial role in supporting the Talent Acquisition Team by ensuring that we effectively attract top talent without missing out on key opportunities. A strong focus is placed on providing a seamless and positive experience for candidates throughout the application process. The Talent Acquisition Coordinator acts as a collaborative partner by working closely with Talent Acquisition Associates/Partners and Hiring Managers to facilitate the recruitment process and bring the best candidates to interviews.

Responsibilities

  • Coordinate interview schedules within 10 business days using tools such as Greenhouse and calendar systems.
  • Ensure that all information is set up and distributed along with the necessary supporting documents/details.
  • Provide clear and professional communication with candidates, including interview details and confirmations.
  • Manage logistics for on-site interviews (e.g., reception/building access, room reservations).
  • Proactively manage urgent changes, such as cancellations or rescheduling.

Feedback management

  • Collect feedback from interviewers and promptly share it with the hiring teams; ensure that the data is tagged correctly in Greenhouse.
  • Plan stakeholder debriefing discussions following the four-round interviews.

Talent Tech Support

  • Ensure that talent acquisition technology tools (e.g., Greenhouse) are used to their full potential to track candidates, download task lists, and improve reporting.
  • Support IT in maintaining candidate evaluations and ensure that the results are delivered efficiently and securely.

Talent Acquisition Helpline & Agency Coordination

  • Monitor the talent acquisition inbox daily, triage inquiries accordingly, and respond to them.
  • Support agency management, including processing invoices, maintaining Preferred Supplier Lists (PSLs), and managing new agency agreements.
  • Organize meetings between agencies, talent acquisition teams, and hiring managers to align talent acquisition strategies.

Data and Cost Efficiency

  • Regularly review and adjust candidate plans and interview notes to ensure that resource allocation is optimized.
  • Track and report on talent acquisition metrics (e.g., time-to-hire, cost-per-hire) to support continuous improvement.

Technical skills

  • Strong attention to detail and the ability to manage multiple priorities in a fast-paced environment.
  • Knowledge of applicant tracking systems (ATS), preferably Greenhouse.
  • Excellent written and verbal communication skills.
  • Familiarity with talent acquisition technology, including assessment tools (e.g., HackerRank/Verfall).
  • Experience in cost-effective talent acquisition practices.
